What is fleet management?

Fleet management is the ongoing work of keeping a business’s vehicles safe, legal, available and cost-effective. It covers the whole life of every vehicle you run: choosing and buying it, servicing and repairing it, registering and insuring it, tracking how it is used, keeping it presentable, handling the tolls and fines it generates, and deciding when to replace it.

For a business with five vehicles that is roughly a day of admin a month. At twenty vehicles it is a part-time role. At fifty it is somebody’s whole job — and if nobody owns it, the fleet quietly starts costing you money through late servicing, lapsed registrations, avoidable breakdowns and vehicles held two years too long.

What does fleet management include?

There is no single definition in the market, which is why quotes are hard to compare. Some providers sell finance. Some sell software. We deliver the physical work. Our fleet management covers:

How much does fleet management cost?

Ours is quoted per vehicle, per month, on a no-lock-in subscription with a five-vehicle minimum. We price every fleet individually because fleet size, vehicle mix, location and the services you actually need all move the number — a five-ute trade fleet and a twenty-truck transport operation are not the same job. Even our entry package covers registration and compliance, service coordination, insurance, tolls and fines, and 24/7 roadside assistance.

The useful comparison is not against zero. It is against what the current arrangement costs you: the hours you spend booking and chasing, the repairs that got worse because a service was late, the job you lost because a ute turned up filthy, and the fine that escalated because nobody nominated a driver in time.

Does my business need fleet management?

If you run five or more vehicles and any of these is true, the answer is usually yes:

• You cannot say, right now, when each vehicle is next due for a service.
• A registration has lapsed in the last two years — or you have had to rush one.
• Your vehicles get cleaned when someone finds time, which is to say rarely.
• You are the person who opens the toll and fine notices.
• You have no idea which vehicle in your fleet costs the most to run.
• A breakdown means a driver ringing you, not ringing a service.

Fleet management vs leasing vs doing it yourself

These three models get lumped together and they are not the same thing.

Leasing companies finance vehicles and bundle some management into the lease. That works if you want new vehicles off balance sheet and you are comfortable with a fixed term. It does not help the fleet you already own, and it rarely includes anyone physically touching your vehicles.

Fleet software gives you dashboards and reminders. Useful — but it hands the work back to you. Somebody in your business still has to make the bookings and chase the workshop.
